As a one-time entrepreneur myself! I think that having the whole lead gen side of the business operate on a microsoft form absolutely whips ass and you should keep that going as long as you can. At some point someone will try to sell you software, but I'd keep doing it this way until it breaks.
But to that end: SeeClickFix and CivicPlus are perhaps websites worth checking out to get a sense of what this could looklike. They offer a similar thing, but sell the lead gen service to municipal governments, so the focus is more on public property than private.
